From productivity and accounting tools to storage and security related applications, modern technology brings small business productivity to your fingertips. Furthermore, it has done so in a way that makes world class performance assessable to even the smallest of businesses.

While many of these tech tools have only become available within the last few years, I’m happy to say that they’ve saved me immensely in time and other resources.

Here are the ten tech tools that have been the most invaluable to my small businesses and indeed to many small to mid-sized enterprises the world over.

Cloud Storage

Understanding cloud storage requires that you first have at least a basic understanding of the cloud. For starters, the term “cloud” is often misunderstood as something that is physical.

However, the cloud itself is not something that’s physical it is digital or virtual. It consists of groups of computers or servers that are networked together – each to serve its specific purpose.

Similarly, cloud storage allows users to host and manage files, folders, and other data online. One way to think of it is that it’s like being granted remote access to several different hard drives by way of the Internet.

The benefit of storing your data in the cloud is that it allows you to store significant amounts of data without you having to invest in physical data storage devices. It also gives you the ability to access your files from virtually anywhere in the world – remotely.

Open Source

Open-source programming (OSS) is a form of programming that makes the source code accessible via a use license in which the copyright holder gives the rights to study, change, or disseminate the digital product to anyone, for any purpose.

Most OSS products are usually developed by multiple programmers or contributors, all belonging to a single open source community.

The open source model spreads labor, development costs, and other resources across a vast pool of participants. The products that they create are often free to the general public.

Unlike commercial website builders who must pay a small team of programmers to build their products, the WordPress platform is built by hundreds of individual programmers located all over the globe.

A great example of an open source product would be the free website framework known as WordPress; this is why WordPress based websites are able to offer all of the functionality of a well-built custom website – at a fraction of the cost.

CRM frameworks are a type of software application that is intended to help organizations manage and store various types of customer data. For example, a Client Relationship Administration system could store information about general customer details, sales, personnel, vendors, customer service, etc.

While the primary purpose of customer relationship management tools is to make it easier to manage your customer interactions and relationships, it also offers several other uses. In fact, many businesses use it not only to manage customer relationships but also that of incoming leads, contacts from networking events, new contracts, etc.

One of the reasons the big and small businesses alike rely on CRM systems is that they simplify and take the guesswork out of client relationships while improving customer retention and sales.

The word ‘webinar’ is the shortened version of ‘web-based seminar’, which is to say that it is a workshop that is hosted online with the help of webcasting software. There are a myriad of webinar applications but most if not all of them allow you to transmit video, images, files, and chat conversations to your attendees over the web.

Although webinars are most commonly used to transmit lectures, they can also be used to make sales presentations, conduct group discussions, perform demonstrations, etc. One of the biggest benefits of attending webinars is that they allow you to participate in meetings with individuals from around the world – from the comfort of your home or office.

Webinars also offer several advantages to those that host them. Namely, it gives your business access to two-way conversations with multiple users in a single setting.

Data Intelligence

Data intelligence speaks to how businesses use data to gather actionable insights into running or improving the way they operate. Data insights can also refer to how companies use their internal data to make better decisions well into the future. Organizations often deploy it through small business intelligence software.

If you’re a small business, the best part about data intelligence is that it streamlines the decision-making process and gives you the ability to make choices that are both quick and well-informed.

Internet Security Software

Internet security software provides protection for a broad range of web activities. It can be used to secure your browser, downloads, online forms, and email from malware, malicious files, spam, identity thieves, and other would-be intruders.

Although in years past, the industry was dominated by shareware providers who offered very basic products today the market is much more segmented, consisting of products ranging from free to high end.

Security applications are highly beneficial to small businesses as they have the ability to protect both your computer and your data from online threats.

Exposing your system to these threats without internet security could be many times costlier than purchasing the tools.

Accounting software

The bookkeeping software helps organizations record their small business transactions; this includes vendor purchases, sales receipts bank deposits, payroll entries, debt service, etc. If you use accounting software in 2016, more than likely you’re doing so through the cloud. The benefits if using bookkeeping software are almost too many to count.

A few of my favorites are that it helps you keep your entries current, it allows you to keep all of your financial records in one place, and it helps you analyze your finances.

Digital marketing is a form of promotions that encompasses a multitude of promotional channels and methods. For example, it includes social media marketing, search engine marketing, digital display advertising, mobile marketing, behavioral targeting, email marketing, and much more.

Makes it possible to reach large numbers of highly targeted prospects at a fraction of the cost of traditional advertising; this makes it a game changer for small businesses.

Voice over IP (VoIP)

(VoIP) is a technical innovation that gives you the ability to make voice calls through a broadband Internet connection as opposed to a standard (or simple) telephone line. Some VoIP platforms only permit you to call other individuals utilizing the same VoIP application.

However, others allow you to call any individual with a phone number. Additionally, not only can you access VoIP via PC but in some cases, you can even access it through your mobile device.

As you continue running your small business, keep these tips in mind. And remember that armed with the right tech applications you have the power to scale your business as large or quickly as you’d want.
